Data Protection Policy
Careers Scotland is committed to protecting the privacy of its clients and to keeping records confidential.
Keeping details on record
The details we gather make it easier to provide information, advice or guidance about suitable career options. We store:
- Contact details so that we can send out information or advise you of Careers Scotland services
- Details of career ideas
- Qualifications
- Interests, hobbies, part-time employment or involvement in enterprise activities
- Details of any health issues that may require to be taken into consideration when discussing career choice.
We gather this information in a number of ways:
- By asking you to complete a questionnaire or online form
- As part of a one-to-one discussion with you
- For school pupils, we get some information directly from the school
Whenever we request data it is treated with the strictest confidence.
Our forms always provide you with information about:
- Careers Scotland
- How we will use the details to provide help with career choice
- Your right to access the information
- How you can get us to correct any inaccuracies
On some forms we also ask for permission to get a copy of your exam results from the Scottish Qualification Authority. This helps us to provide information about suitable opportunities.
We only request data that will help us to provide information, advice or guidance.
Gathering information from other sources
The school only provides us with information which is relevant for career planning. This might include progress with school subjects, participation in careers related activities and particular strengths or abilities.
Transfer of information
Sometimes it can be helpful to share information with other organisations - such as those providing skills or job training or support for medical conditions. We will not pass on any sensitive information to organisations or individuals (including parents or carers) unless we have obtained explicit permission from you to do so.
We do pass on information for statistical or research purposes to other organisations such as the Scottish Government, but this will not include any personal details like your name or address.
Security
Electronic data is stored securely in password protected files: any paper records are kept in locked filing cabinets. Access is only provided to staff who require the information to assist a client. All staff are required to treat information with the utmost care and confidentiality. When information is no longer required, electronic files are deleted and paper records disposed of in confidential waste.
