Introduction

Data input operators use a keyboard to enter data into computer systems. They deal with text and numerical data, putting the information in the required format. Many operators also have other office duties.

Work Activities

Data input operators transfer written information into a computer or visual display unit (VDU), so that it can be stored in the machine's memory. Later on, someone can retrieve the information on screen or print it out on paper.

Data input operators may deal with words, for example, reports or letters, with numerical data on spreadsheets, or they may enter information onto a database.

The operator types or 'keys in' the details according to a set format. Often, they input data into spaces or 'fields' on the computer. A simple example is an address list, where the operator enters a person's first name into one field, the surname into another, the postcode into another and so on.

Sometimes operators input the data in code form. For example, they may key in standard information such as a commonly used street name under a one or two digit code.

By inputting the information in exactly the right order, operators enable others to recall data for various tasks, for example, printing off labels for envelopes or listing sales figures for different areas.

Many data input operators also have other office duties like word processing, photocopying, filing and answering the phone.

Personal Qualities and Skills

As a data input operator, you should be able to work quickly, carefully and accurately. You might often be working under pressure to meet a deadline. The work can sometimes be monotonous but you must still be able to concentrate and pay attention to detail.

You need good literacy and number skills.

You should have a logical mind. You need good IT skills to use a range of databases and spreadsheets and to cope with any day-to-day problems with the system you are using.

Pay and Opportunities

Starting salaries can vary.

The pay rates given below are approximate.

Salaries are in the range of £12,500 - £14,500 a year, rising to £17,500 - £22,500. Higher earners can make around £24,000 a year.

Data input operators usually work 35-39 hours from Monday to Friday, and some work shifts. Full-time, part-time, and flexible working arrangements may be available.

Employment throughout the UK is with industrial and commercial companies, public utilities, local authorities and central government.

Adult Opportunities

It is illegal for any organisation to set age limits for entry to employment, education or training, unless they can show there is a real need to have these limits.

Some entrants have skills in keyboard work and administration. Initial qualifications such as SVQs levels 1/2/3 for IT Users, or a NC or NQ in computing or information technology, are useful.

You may be able to take a Modern Apprenticeship, leading to SVQ level 2/3.
