Responding to advertised jobs

Some employers may ask you to write a letter to apply for a job. This letter will let the employer know about your skills and experience which are relevant to the vacancy.

If you have a CV you could write a shorter letter and enclose a copy.

However if you are specifically asked for a letter of application you should follow the advice set out below.

Hints and Tips

  • Use A4 plain white paper
  • If possible word-process your letter (unless the employer states "Apply in your own handwriting")
  • if hand written, use a blue or black pen
  • Write to the named person - you should telephone the company beforehand to find out who deals with applications
  • Check your spelling - avoid abbreviations or slang
  • Keep it neat and clean - start again if you make a mistake
  • Ask someone to check it through for you before posting and keep a copy
  • Remember to sign your letter

What should go in it?

The introduction

In the introduction you should detail the job you are applying for, (including any reference numbers) and where the vacancy was advertised.

The body

The body of the letter provides you with an opportunity to present yourself to the employer. This should be based on the content of your CV.

  • Explain why you are suitable for this job
  • Emphasise the skills you have which make you particularly suitable for the job
  • List briefly the personal qualities you would bring to it
  • Tell the reader about your present job and past jobs which may be relevant
  • Answer any specific questions posed by the advert or job details

Make use of Action Words and  Useful Phrases in your letter.

It is important not to write too much, however. One side of A4 with, short punchy paragraphs are much more effective than two or three sides of rambling prose.

The conclusion

The conclusion should round the letter off, leaving the reader with a positive image. It should sum up briefly the selling points made in the body of the letter, mention any items you are enclosing, and express willingness to provide any further information that the reader may want.
